Run mode · pick a weekend

Choose a city and the app becomes one screen: who is in the room, every block on that weekend’s real clock, and what is still left before doors.

Part three · Roles

Everyone knows their job before doors open.

06Staffing

Staffing per city.

  • Nat and Cameron on stage and facilitation.
  • Joe, MacKenzie, Eliot for firesides and strategy.
  • A West Coast support person strong with younger kids. Liam is top candidate.
  • 1-2 Workshop Guides, 8-10 Mentors, 3-4 Alpha HS ambassadors per city.
  • A mentor bench of 1-3 to hold one mentor per five to eight students.

01RoleMC/Lead Facilitator

MC/Lead Facilitator

Owns the room's energy and the clock. The voice the weekend runs on.
  • The opening session plus all 5 modules
  • Timekeeping across the weekend
  • The reward kit and every in-the-moment callout
  • Awards and the close
  • Read Part 1 end to end. You're telling the story on stage.
  • Run the opening out loud, timed. Thirty minutes means thirty.
  • This is the role that used to require Nat; this doc exists to make it not require Nat at every step.
  • Start on time even if the room isn't full. Late starts compound.
  • Read the room every twenty minutes in work blocks. Quiet is a problem on Saturday afternoon.

02RoleWorkshop Guide (1-2)

Workshop Guide (1-2)

Can take over modules from MC/Lead Facilitator
  • Able to deliver the five workshops off of the run sheets
  • The live teardowns on Saturday and Sunday morning
  • The demo in each module, the magic-show moment
  • Read every module page in Prep mode at least one week before the event.
  • Rehearse the demos. Idea Generation and Vibe Coding live or die on the live build.
  • Have your examples for modules ready to go. Lean into the Kettle & Fire example as the throughline.
  • Run every timebox and live exercise from the cue sheet.
  • Hit the timings. Every module has a beat you can cut. Know yours.
  • Once you're done presenting, get off stage and into the room.
  • Write down anything that breaks. It goes in Monday's retro.

03RoleMentors (1 per 5-8 students)

Mentors (1 per 5-8 students)

Float the room. One per five to eight kids. The weekend is nothing without its mentors guiding.
  • Unblocking kids in every work block
  • Sharpening ideas during Idea Generation without evaluating them
  • The last-mile sprint on Sunday: 15-minute rounds per team
  • Station interviews during Sunday's judging, with the rubric
  • Read the principles page. It calibrates everything.
  • Read the Callouts section on each module page.
  • Understand the age line: under-13s on email and parent network only.
  • Float, don't sit. A seated mentor serves one kid; a moving mentor serves eight.
  • In the grind block, stop stalls rather than help build.
  • Never tell a kid their idea is weak. Get them to a customer faster.
  • Praise attempts and hard firsts loudly. Coach comparisons one-to-one.

04RoleAlpha Ambassadors (3-4)

Alpha Ambassadors (3-4)

Alpha HS ambassadors. Assigned to the kids 13 and under.
  • Being visible and approachable all weekend
  • Informal table conversations during work blocks
  • Modelling what a kid two years ahead looks like
  • Know your own story in ninety seconds. That's the thing that lands.
  • Read Part 1 so you're consistent with what's said on stage.
  • Sit with kids who look isolated, especially the youngest.
  • Talk about what you built, including what failed.
  • Ask questions - What did you try yourself? Did you ask someone at your table?

05RoleOps Lead

Ops Lead

Nobody loses an hour to a login, a projector, or a missing meal.
  • Venue, food, wifi, power, projector, AV
  • Pre-event tech setup: coupon codes, accounts set up
  • The waiver, medical authorization and media release packet
  • The filming station and its booking sheet
  • Work back from doors using the pre-event workback schedule.
  • Confirm venue insurance, and that Alpha campus coverage extends to non-enrolled minors.
  • Test everything before submission. On Sunday it's too late.
  • Have food ready before doors on day one. The half hour of doors and mingling before the opening session is doing real work.
  • Clear parents out of the student room before Idea Generation. Where the run of show combines the evening fireside, seat families and students together.
  • Make sure every kid has a filming slot booked before submissions close and the room flips at 4:00 Sunday.
  • Own the door at the after-party. No family leaves without a next step.
